The Senior Director, Estate Administration will be a part of creating our evolution into a perpetually campaign-ready, donor-centered, leading industry program to support City of Hope's mission. Under the supervision of the Senior Executive Director, Planned Giving Administration, the Senior Director, Estate Administration will play an integral role in the administration of City of Hope's realized bequest program dealing with estate and trust matters for deceased donors who have made a bequest to COH. The incumbent will partner with the Planned Giving Legal Assistant to facilitate the administration of realized bequests, including coordination with executors, trustees, attorneys, financial advisors and others. The Senior Director, Estate Administration will provide guidance and assist in navigating complex estate matters, consulting with the City of Hope's Office of General Counsel and outside counsel as needed. While not functioning in a legal capacity or as City of Hope's attorney, the individual should have sufficient knowledge of the legal system, and in particular familiarity with California probate law and proceedings, to be able to effectively review and communicate about certain types of probate, trust administration and other similar agreements. Some matters will require additional review by and consultation with the Office of General Counsel. On occasion, the individual will also be involved with note receivable files, bankruptcy matters, and life insurance matters. Key Responsibilities Include: In coordination with the Planned Giving Legal Assistant, participate in the facilitation of bequest matters to ensure the efficient realization of bequests on behalf of City of Hope. Communicate and correspond with attorney, executors, trustees, courts, accounts, family members and friends as needed. Help to develop and implement systems and processes to streamline the estate administration process. While the individual would not be functioning in a legal capacity on behalf of City of Hope or representing City of Hope as its counsel, he/she is expected to communicate and correspond with attorneys, executors/trustees, courts, accountants, family members and friends and coordinate with the City of Hope Office of General Counsel and outside counsel when appropriate. Working with the Office of General Counsel as appropriate, review (i) certain types of probate, trust administration and related agreements (ii) inventories and (iii) accountings and (iiii) partner with Planned Giving staff to administer and facilitate general planned giving matters. In partnership with the Planned Giving Legal Assistant, maintain an understanding of the bequest pipeline, accruals and annual bequest revenue. Understand and run reports to track program metrics, including quarterly accrual reports and the annual projected bequest budget. Make ongoing updates and documentation within the Office of Philanthropy donor database. Provide input relative to complex estate matters as well as contested estates or other disputes in collaboration with the Planned Giving Legal Assistant, and as appropriate the Office of General Counsel and outside counsel. Provide guidance in the sale of items (real property, personal property, securities, etc.). Work closely with the Corporate Real Estate Department on acceptance of real property, limited partnerships, and oil interests in partnership with the Planned Giving Legal Assistant. Together with the Office of General Counsel and outside counsel, assist in the representation of City of Hope in arbitrations, hearings and other legal proceedings as required. Qualifications Basic education, experience and skills required for consideration: Bachelor's degree or equivalent work experience. 8 years estate planning, probate or other relevant legal or planned giving experience Development or philanthropy experience or general knowledge Strong communication and relationship building skills and ability to work well with individuals of all ages. Display tact/consideration in dealing with City of Hope donors, patients and employees Sensitivity to intercultural relations. Presentation of professional attitude and demeanor. Possess a technical aptitude with proficiency in Microsoft Office and ability to navigate within a relational database. Ability to work independently, under pressure and manage multiple assignments while maintaining normal workflow. Excellent verbal communication and excellent written communication skills. Ability to understand and communicate with other legal and financial professionals. Blackbaud CRM Microsoft Office Required Certification and Licensure: Licensed to practice in State of California Preferred education experience and skills: Juris Doctor Degree Philanthropy or Planned Giving experience & a general understanding of development and/or the fundraising process.
